Poster Session Instruction

INSTRUCTION fOR POSTER SESSION

Poster and technical sessions carry equal standing. Assignment to a poster session is not a lower tier of acceptance. Papers in poster sessions and papers in technical (oral) sessions are treated identically for submission to IEEE Xplore, and both are subject to the same condition: the paper must be presented at the conference by a registered author.

The two formats differ only in how the presentation is delivered:

  • Technical Session — one scheduled presentation to a seated audience, followed by questions.
  • Poster Session — a full 45-minute session at the poster board, during which the presenter gives a short 3–5 minute walkthrough repeatedly to successive visitors, allowing extended one-to-one discussion of the work.
Purpose. These instructions apply to all papers assigned to poster presentation sessions at TENCON 2026. Authors are requested to follow the requirements below to ensure a consistent, professional, and interactive poster session.

3. Readability and Design

The technical content should normally include the research motivation or background, objective, methodology, key results, discussion, and major conclusions. Authors are encouraged to use figures, diagrams, tables, photographs, and other graphical elements instead of large blocks of text.:

The poster board number, session date, presentation time, and display area will be announced in the final conference programme and/or at the poster presentation area.

5. Poster Installation and Mounting

Presenters are responsible for printing and bringing their posters to the conference venue. Posters must be installed on the assigned poster board before the beginning of the scheduled poster session.

7. TENCON 2026 No-Show Policy for Poster Presentations

Important publication requirement. A paper assigned to a poster session is expected to be both displayed and presented by an attending registered author or an approved substitute presenter during the assigned session.
  • Engage professionally and courteously with conference participants.
  • A paper classified as a no-show will be handled in accordance with the TENCON 2026 / IEEE conference publication policy and will not be submitted for inclusion in IEEE Xplore after the conference.
  • If the designated presenter is unable to attend, the authors should arrange for a co-author or another qualified substitute presenter and notify the Organizing Committee as early as possible.
  • Requests for exceptional arrangements due to documented emergency circumstances will be considered by the Organizing Committee on a case-by-case basis. Approval must be obtained; simply displaying the poster without an attending presenter does not automatically constitute an approved exception.

8. Poster Session Etiquette

  • A poster paper may be classified as a no-show if the poster is not displayed and/or no registered author or approved presenter is present during the assigned poster session.
  • Supplementary materials, QR codes, or links to research resources may be included when directly related to the presented work and when they do not obscure essential poster content.
  • If the designated presenter is unable to attend, the authors should arrange for a co-author or another qualified substitute presenter and notify the Organizing Committee as early as possible.

9. Poster Removal

Authors are responsible for removing their posters after completion of the designated poster display period. Posters should not be removed before the end of the assigned poster session..

The final removal deadline will be communicated by the Organizing Committee. Posters remaining after the specified deadline may be removed by conference staff, and the Organizing Committee cannot guarantee storage or return of posters left at the venue..
